RFQQ #20-DCYF-CW-012

 

Conference Management and Registration Services

    

The State of Washington, Department of Children, Youth, and Families (DCYF) intends to post a RFQQ for Conference Management and Registration Services.  This Solicitation is issued in order to assist the Washington State Department of Children, Youth & Families (DCYF) in seeking qualified Contractor(s) to provide conference management and registration services for the Annual Children’s Justice Conference during the month of April or May for approximately 1,500 attendees. The Annual Children’s Justice Conference features approximately 100 speakers, presenting approximately 115 workshops sessions.

All Bidders must meet the following minimum qualifications:

a.   Bidders must possess a Washington State Master Business License.

b.   Bidders must be a Certified Meeting Professional (CMP) with a minimum of 5 years’ experience as a meeting/event planner for conferences of approximately 1,500 attendees.

c. Bidders must be a member and in good standing with the Convention Industry Council.

d. Bidders must have 7 years of credit history and not have experienced a bankruptcy within that time.

e. Bidder must provide proof of insurance as set forth in Exhibit A, Sample Contract, Special Terms and Conditions.

f. Bidder’s organization must have at least 5 years demonstrated experience on comparable conference registration projects.

g. Bidder’s Key Personnel for this project must have at least 5 years demonstrated experience managing successful conference registrations.

The RFQQ will be issued on or about May 26, 2020 and responses will be due on June 25, 2020.  On the date indicated, DCYF shall post the RFQQ, Sample Contract, and any attachments and amendments relating to the RFQQ, on Washington’s Electronic Business Solutions (WEBS).  WEBS can be accessed at: https://fortress.wa.gov/ga/webs/.

All Responders must register as a vendor on WEBS, using an appropriate commodities code listed in the RFQQ, and must download the RFQQ and any attachments from WEBS. This should be done as soon as possible in order for responder to receive notifications automatically generated on WEBS.
