Accounting Service for Private Non-Profit 501(c)(6)

The Economic Development Council of Jefferson County seeks a bookkeeping/accounting service provider for the described scope of work.

Requested information

Proposals should include the following information. Proposers may submit additional information as deemed appropriate.

1. Employment history
2. Address, including the County of the firm’s business registration
3. UBI number
4. Qualifications for providing general accounting and bookkeeping services.
   • Education, training and certifications
   • Extent of experience with nonprofit clients, including grant management
5. Description of how you propose to provide services, addressing meeting remotely or in person, if there is a lead contact, and any details regarding engagement
6. Proposed rate per scope of work.

Scope of work

The EDC will continue to perform basic entry functions – recording income and expenses in Quickbooks Online, including expense and class allocations, and invoicing.

The EDC also has an established firm to prepare the annual 990.

We seek a firm to support the EDC with the following tasks:

• Managing ADP payroll, payroll allocations, benefits, rate changes, W2s, and associated journal entries monthly
• Reconciliation
• Quarterly B&O taxes
• Sick and vacation time audits, monthly
• Financial statement audit, quarterly
• Year-end Journal entries, prepare 1099s, pre-990 prep
• Cash flow projection, setup monthly (accrual accounting)
• Discussion regarding evolution of the existing grant management tool (preparation for receipt of grants)
• Estimated cost for inclusion of grant management support
• Availability for questions, occasional training, general oversight
