  1. BACKGROUND

The City of Everett’s Office of Community Planning and Economic Development has obtained a Certified Local Government grant from the National Park Service and Department of Archeology and Historic Preservation for a downtown historic and cultural mobile walking tour.  The ‘tour’ includes different mobile compatible virtual versions and a printed brochure.

  1. SCOPE OF WORK

The City of Everett is seeking the services of graphic design and creative writing to supplement a mobile walking tour and brochure. Selected tour points along the routes have been predetermined and researched with photos and background information.

  1. Creative Writing: The selected Supplier will help strengthen pre-written content for selected tour points on the mobile application to create an enjoyable story-telling experience. This will entail reviewing the provided background information, creating a ‘story’ of Everett’s history in relation to the tour points, and writing content so that it is appealing for different audiences. The Supplier will also create the written content for the printed brochure.
  2. Graphic Design: ESRI’s “StoryMap” software is utilized for the mobile tour application and provides preset templates for tours. Graphic content for the online platform will be limited to images/icons on the general landing page. Graphic content for the printed brochure will be more extensive and involve creating the brochure ‘from scratch.’

Proposed Time Needed for Project: 55 Hours

  1. Kickoff meeting. 60 minutes
  2. Mobile Tour:
    1. Edit written narrative: 10 hours
    2. Provide graphics/visual content: 12 hours
    3. Review with city, revise and deliver to city: 6 hours
  3. Brochure:
    1. Edit written narrative: 12 hours
    2. Format narrative and graphics into brochure: 4 hours
    3. Review with city, revise and deliver to printer: 8 hours
    4. Deliver final product to printer, proof copy: 2 hours

 

  1. PROPOSED DEADLINES
  1. May 14 – Meet with staff, discuss goals and objectives for scope of work; begin drafting content for review in June
  2. June 15 –Provide graphic and written drafts to staff for review; select final graphics for mobile platform; create first draft of brochure
  3. June 27 – Create final draft of brochure for review; address any troubleshooting/revisions to mobile tour
  4. July 11 – Finalize brochure design and content; prepare brochure for printing and provide printable/online electronic versions to staff 
  5. July 17 – Finalize any correction/troubleshooting as needed

 

  1. SUPPLIER RESPONSIBILITIES

Create a visually appealing and descriptive story with background factual information provided. Supplier will be responsible for:

  • Mobile Tour:
    • Creating graphic images for tour icons/symbols on mobile application landing page
    • Using provided background, write creative narrative for historical tour points that will create a story and historical account of Everett.
  • Brochure:
    • Create written content, must be eye catching and a supplemental resource to the mobile tour.
    • Create graphics for brochure that are mindful of audience and City of Everett branding guidelines.

Supplier will provide compatible imaging that can be easily embedded into existing software. The brochure shall be easily read and understood by general audiences. All content shall be subject to review and conditions by City of Everett staff. Content shall be grammatically correct, contain no offensive language or visuals, and be family oriented.

  1. CITY OF EVERETT RESPONSIBILITIES

City of Everett staff will provide:

  • Predetermined tour points with background factual information and historical photos
  • Predetermined tour routes
  • Web mapping application, ESRI’s “StoryMap”
  • Historical facts/photos
  • City of Everett branding, in consultation with City of Everett’s branding and communication staff and policies
  1. ARTWORK
    Artwork will be provided to the Contractor via either the vendor’s or the City’s FTP site. Hard copies of past printed historical tours will be provided for reference but shall not be used as original artwork. Files will be prepared in Adobe Creative Suite Software, InDesign, Photoshop & Illustrator. Print-ready exports will be provided as PDFs based upon the vendor’s press specifications. The Contractor shall remain current with software utilized by the City of Everett.

The contractor shall include in their pricing all pre-press and set-up fees, which include trapping and manipulation to make the files compatible with their workflow. Any delivery expenses incurred in supplying artwork, proofs, etc., to the Contractor shall be the responsibility of the City of Everett’s Office of Community Planning and Economic Development.
